Duties:
. Involved with the affairs of the every day running of the Secretariat;
. To attend Committee Meetings and prepare the minutes of committee meetings;
. To follow up for meetings with the judiciary and other officers and courtesy calls on the respective government departments;
. Monitor the whole operation of the Secretariat and brief the Committee at the meetings;
. Check on the sub-committees files/correspondences/follow up/KIV matters;
. Sorting/replying e mails;
. Filing, typing letters;
. Making necessary arrangements whenever there are seminars, talks or functions organised by various sub-committees such as sending letters to speakers, preparing circular and liaising with the hotel and get sponsorships to for functions;
. Check the information on the website;
. Answering telephone calls;
Library: To attend on a Saturday. (once a month)
Shariza Binti Mohamad
Duties:
Accounts:
. Prepare payment (cheque/cash)
. Control & mange petty cash ($900 per month)
. Control & mange bank balance/Fixed deposit
. Record in MYOB
. Prepare Profit & Loss and petty cash account (monthly)
. Prepare Profit & Loss, Balance Sheet and Ledger (end of the year)
. Prepare all attachment for auditors (end of the year)
. Filling all documents-Invoice, Payment Voucher and etc.
Subscriptions:
. Receive payment
. Update & key in the payment to Database
. Separate the payment from Sijil Caruman
. Prepare bank in slips
. Bank in, key in receipt in MYOB & filing
BC Box:
. Receive payment
. Update, key in the payment to Database & update into book
. Bank in, key in receipt in MYOB & filing
Sub-Committee:
. Calling them to confirm the date of meeting
. Prepare & fax notice of meeting
. Call & confirm the attendance
. Prepare letter/correspondences/follow up

Khairul Nizam Bin Samad
Duties:
. Sorting/replying e mails;
. Collect Letters from post office, record in the book - three times a week;
. Posting letters, record in the book, frank & send to post office;
. Filing Sijil Caruman/Record/sorting;
. Memberships: Update firm/members status;
. Print label;
. Calling/follow up from members/firm regarding their status;
. B.C. Boxes: inspection/record/reporting/duplicate keys, Shah Alam & Klang Court;
. Faxing letters/docs/notices and minutes;
. Answering telephone calls;
. Photostatting documents/letters/notices etc;
. Despatching as requested;
. Committee Meeting &amp prepare refreshment
. Sub-Committee Meeting arrange the conference room etc
. To update the list of judiciary/government agencies for the web site
. Bar Rooms: To inspect and update the notice board of all Bar Rooms on a monthly basis.
B. Vasantha Kumari
Duties:
. Reception- Attend to despatch and other walk-ins.
. Acknowledge documents, payments, stamp documents, issue receipts and forward to relevant authorities;
. Incoming mails and e-mails- To receive and forward to relevant authorities;
. Drafting letters on enquires, complaints and from Bar Council;
. To co-ordinate– With regards to Chambering documents and attending to chambering pupils when the come in to serve their documents;
. To prepare and collect cash or cheques, forms for Sijil Caruman., also for BC Box;
. Keys for BC Box, update in the BC record book and ask Khairul to duplicate if requested;
. Organise courtesy calls and liasing with the revelant authorities;
. In the event of committee meetings- to order refreshments for participants;
. To organize functions/seminars or talks;
. Booking of conference room for Disciplinary Committee hearing;
. Sub-Committee: calling, organising meeting, faxing and facilitate;
. Answer Phone calls & Filing;
Norazlina Binti Mohd Ishak
Duties:
. Keeps accurate records and files;
. Advising the members in respect of the usage of library materials, handling reference and information search request.Maintain and record all library materials on the database & arrange all the books and journals by its title and subjects;
. Providing a comprehensive information service and developing library collection;
. Update library information on the website;
. To ensure that all necessary procedures as per the Rules & Regulations of Library are followed in the provision of library services to users;
. Ensure the library system is backed up;
. Ensure all computer hardware, network and software is functioning in the Selangor Bar Office and Legal Aid Centre;
. Provide technical support for Selangor Bar Office and attend to disruptions in the automated system and check and update PC hard-wares and soft-wares;
. Maintain records of all IT equipment and other duties as and when required;
. Upload the entire circular, events and photographs on the website & Scanning & Photocopying. Send email blast to members;
. Keeps accurate records and files of Chambering Pupils Affairs.
Gunaalan Subramaniam
Duties:
Preparing chambering documents:
. Open new file;
. Preparing letters to referees;
. Preparing short call letters;
. Preparing confidential reports;
. Preparing long call letters(court/AG/council/KL Bar);
Updating chambering records:
. computer & record book - 1 hour;
Introductory Sessions:
. To call10-20 pupils;
. fax letter to pupils;
. prepare attendance sheet;
Talk/Seminar for pupils:
. To call up about 30 pupils;
. must arrange the conference room;
. prepare attendance sheet;
Long call(Shah Alam):
. must go to Bar Council to collect files;
. must inform the CPA chairperson;
. request meeting room from Court for reception;
Sub-Committee:
. Calling them to confirm the date of meeting;
. Prepare & fax notice of meeting;
. Call & confirm the attendance;
Committee Meeting:
. prepare refreshment;
. arrange the conference room etc;
Stationeries: every 2 weeks to check on items
Out-going work:
. banking;
. payment of bills(tnb, telekom & pkns);
. Bar Council, Chairman, Hon Secretary & Committee Members offices, (sign letters, cheques);
General :To sign, acknowledge documents etc at the reception counter
